Position Overview

We are seeking a detail-oriented Project Administrative Assistant to support our Project Management team in all aspects of project administration. This role is essential for maintaining accurate project records and ensuring smooth operations from bid to project closeout.

Key Responsibilities

  • Maintain and organize project records using document control systems and project management software
  • Assist with bid coordination, including creating bid documents and collecting subcontractor/supplier bids
  • Process correspondence, submittals, change orders, and requests for information
  • Assist with contract administration, purchase orders, and insurance requirements
  • Support project closeout activities including warranties, as-builts, and O&M manuals
  • Coordinate project meetings, take minutes, and provide general office support

Required Qualifications

  • High school diploma or equivalent
  • 2+ years of administrative support experience
  • Texas Notary Public certification
  • Proficiency in Microsoft Office 365 (Excel, Word, Outlook) and PDF software
  • Excellent organizational, communication, and time management skills
  • Detail-oriented with strong accuracy standards
  • Ability to work independently and as part of a team

Preferred Qualifications

  • 5+ years of office administration experience
  • Administrative experience in construction, engineering, or architectural settings
  • Experience with Procore, Bluebeam, construction software, or e-sign applications
  • Basic project management knowledge
