SUMMARY STATEMENT:

Through the use of specialized equipment, the Digital Printing & Design Services Technician is responsible for performing a wide variety of tasks including word processing, postal bar-coding, spreadsheet and database management, duplicating, and finishing.


ORGANIZATION RELATIONSHIPS:

  • The Digital Printing & Design Services Technician reports directly and is responsible to the Director, Digital Printing & Design Services (DPDS). This position requires specific supervision.
  • This position does not require the supervision of other personnel.
  • The Digital Printing & Design Services Technician coordinates most closely with the Director, DPDS staff, and some College faculty and staff.

DUTIES:
Responsible for postal barcoding mail:

  • Exports/imports database files for sorting and imprinting mailing lists. Correcting and standardizing databases as required by the USPS to effectively utilize bar coding software, BCC Bulk Mailer Pro.
  • Utilizes an up-link via Internet to address correction software to ensure valid addresses meet postal regulations.
  • Maintain bi-monthly and periodic downloads of all upgrades to software.
  • Imprint addresses and bar code on required projects (postcards, brochures, envelopes, etc.).
  • Print reports and properly label trays/sacks as required by USPS. Package and strap mail according to postal bulk mail regulations for transporting to Hagerstown Post Office.
  • Develop reports for department/staff identifying address corrections, duplications, move update addresses, and undeliverable addresses.
  • Attend training and educational seminars to keep up-to-date with postal regulations and review Postal Service publications on regulation updates.

Performs word processing tasks:

Using a PC-platform computer and a variety of software, processes large quantities of materials. These projects include, but are not limited to, booklets, certificates, correspondence, course outlines, forms, reports, schedules, medical instructional handbooks, and instructional materials.

  • Utilizes word processing software (Microsoft Word) to input from rough draft, utilizes database management software (Access), and utilizes spreadsheet software (Excel) on a PC-platform computer to output desired end products; also uses Windows for disk management and maintenance.
  • Utilizes the network system for manipulation of files created and submitted by inter- and intra-departmental personnel while incorporating word processing.
  • Maintains records of digitally stored material and performs all required daily and weekly computer backup procedures and maintenance.
  • Utilizes word processing software (Microsoft Word) and mail management software (BCC Bulk Mailer Pro) to merge documents with database information for imprinting personalized mail at lower postal rates by pre-sorting and barcoding.

Completes duplicating and finishing work in various formats:

  • Assists in completing work by operating specialized duplicating and finishing equipment (photocopiers with finisher, folder, coil/comb and perfectbound binders, motorized drill punch, corner rounder, motorized paper cutter, paper padder, shrink wrapper, tabber, strapping machine, folder/tabber, folder/inserter/sealer, and laminator.

Assists in office operation:

  • Manages interruptions, maintaining good public relation skills at front counter, assisting clientele (staff, faculty, students and outside agencies), and answers concerns that do not require the immediate attention of the Director.
  • In the absence of the Digital Printing & Design Services Specialist, troubleshoots maintenance problems on Xerox walk-up copiers when college staff is unable to resolve problems (i.e., jammed paper, copier settings, toner and drum changes, etc.).
  • In the absence of the Digital Printing & Design Services Specialist, contacts equipment repair technicians, as needed.
  • In the absence of the Digital Printing & Design Services Specialist, orders supplies needed in the office and pays invoices.
  • Maintains and upgrades technical skill level to fulfill word processing and post-press responsibilities. Keeps abreast of software/hardware technology.
  • Assists in defining and resolving software and hardware problems/errors. Assists in maintaining, troubleshooting malfunctions, and making some adjustments or repairs on equipment when possible.
  • Assists in proofreading for typographical, grammatical, spelling, and formatting errors; checks for omissions or inadvertent changes from submitted copy; compares completed corrections with marked copy to ensure that corrections have been processed and new errors have not been introduced.
  • Assists in instructing staff and students in the proper use of the “walk-up” copier and troubleshoots when problems arise.
  • Enters required information into Job Tracking database in order to track project progress, materials ordered, materials utilized, time requirements for completion of individual tasks associated with projects, and project release information.
  • Assists in some training of new personnel.
  • Maintains confidentiality of specific material.
  • Assists in providing guided tours of the Center for current and new staff and occasionally outside groups.
  • Assists where the need exists.


EDUCATION AND EXPERIENCE:

  • High school diploma including or supplemented by courses in word processing, and business practices with A.A. Degree.
  • Certificate in Postal Mail Management preferred.
  • 2-3 years related experience in a print shop production environment.
  • 2 years working knowledge of Microsoft Word, Access, Excel (Microsoft Office Specialist certifications preferred), Windows, and BCC Bulk Mailer Pro Mail Management software.
  • 2 years hands-on experience working on duplicating and finishing equipment
  • Or any combination of experience and training which provides the required knowledge, skills, and abilities.

SKILLS AND ABILITIES:

Ability to type a minimum rate of 40 wpm; ability to operate a PC-platform computer; utilizing word processing, database, spreadsheet and mail management software (Microsoft Word, Access, Excel, BCC Bulk Mailer Pro) preferred; and operation system software (Windows); ability to use a variety of duplicating and finishing equipment; ability to work under pressure from time-sensitive production deadlines and handle multiple projects; ability to train others; ability to follow complex oral and written instructions; ability to relate well with others; ability to occasionally lift heavy cartons; must possess the following attributes: organizational skills, oral and written communication skills, detail oriented, quality and production oriented, problem-solving aptitude, mental alertness, mechanical aptitude, and versatility.
